You decide what we route and what we work.

Any letter type can go either way. Most teams start by routing everything, then hand us the types they want off their plate. You can change it any day.

The mail room shows us what falls through the cracks.

Every letter tells us where work is piling up. If workers’ comp correspondence doubles in March, you’ll know that week, and the Lab can have an agent working it the next.

Because we read every letter, you see where revenue is leaking before you decide what to hand off.

Sorted isn’t solved

A scanning vendor stops at the folder. We take every letter all the way to done.

A full audit trail

Every page we touch is logged: when it arrived, who handled it and what was done.

Patterns by payer

See which payers are sending more denials or records requests before it shows up in your aging.

Deadlines set automatically

Appeal windows and dollars at stake are read from the letter and tracked for you.

Nothing waits in a bin

Every page is read the day it lands, so no letter sits unopened or in the wrong queue.

FAQs

Do our payers need to change anything?

No. We take delivery at your existing PO boxes and fax numbers, so payers keep sending where they always have.

How fast can we go live?

Thirty days from signature. Fax lines usually move in the first week and paper follows once the PO box redirect clears.

Which letters can you work for us?

Denials, medical records requests, timely filing notices, overpayments and recoupments, prior auth decisions, remits and EOBs, contract and credentialing letters, and patient correspondence. Any letter type can be routed or worked.

Can we keep some letters in house?

Yes. Set any letter type to route and it goes straight to your team’s work queue with the deadline attached.

How does paper mail get to you?

We redirect your PO boxes to our mail facility, then open, scan and read every envelope the day it arrives.

What happens to the original paper?

We scan everything the day it arrives, keep it for the retention period you set, then shred it on a certified schedule or send it back to you.

Is it HIPAA compliant?

Yes. Our mail facilities, staff and systems are covered by our HIPAA and SOC 2 Type II programs, and we sign a BAA with every customer.

What about faxes, portals and shared inboxes?

Fax lines move to us and keep their numbers. We pull portal messages and shared inboxes in on a schedule, so everything lands in the same mailbox.

Where do we see our mail?

Every letter lives in one inbox your whole team can see, with a status, deadline and dollars at stake on each one. Weekly volume and trends are in Command Center.

Can we change what you work and route later?

Yes, any day. Most teams start by routing everything, then hand us the letter types they want off their plate.

How do we get started?

Send us a week of mail and we’ll show you what’s in it, what it’s worth, and how much of it we can work for you.
